Job Summary:
We are looking for a proactive and detail-oriented Administrative Assistant to join our team in the construction/home services industry. We are a fast-growing company with the highest five-star Google rating among Central Iowa fence contractors. This position plays a critical role in supporting operations, customer relations, sales, marketing, and vendor coordination. The ideal candidate will be highly organized, tech-savvy, and enjoy balancing office responsibilities with some light field tasks like dropping off care packages to partners.

Key Responsibilities:
Customer Care & Communication:
- Send thank-you notes and follow-up communications to customers and referral partners.
- Weekly communication with active customers for updates and to answer questions.
- Invite customers to participate in referral programs.
- Plan and track employee birthday celebrations; purchase Amazon gift cards. Plan other special events.
Sales & Marketing Support:
- Assist the sales team in tracking leads and moving them through the sales funnel.
- Help create and implement marketing strategies and campaigns.
- Coordinate and post content for social media platforms.
- Deliver care packages to realtors, home builders, and other referral sources.
- Track effectiveness of outreach and referral incentives.
Operations & Project Support:
- Help operations team with ordering materials and tools
- Project management duties such as ordering utility locates, managing homeowners association approvals, and coordinating warranty work.
- Manage and update subcontractor insurance certificates.
- Coordinate with subcontractors, vendors, and internal teams as needed.
Administrative Support:
- Handle phone calls, emails, and general correspondence professionally.
- Assist with annual licensing renewals and compliance documentation.
- Track vehicle maintenance schedules and coordinate service.
Qualifications:
- High school diploma or equivalent required; associate’s degree or higher preferred.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office, Google Workspace, and social media platforms.
- Highly organized with excellent attention to detail.
- Ability to manage multiple tasks and deadlines.
- Must have a valid driver’s license and reliable transportation (for local deliveries and errands).
