Job Title: Executive Assistant and Office Manager  

Status: Non-Exempt  

OVERVIEW: Summit Carbon Solutions is newly formed company which is developing and building the world’s  largest carbon capture project in the upper Midwest over the next several years. We are a dynamic and highly  entrepreneurial team that is expanding rapidly. We are looking for smart, flexible and high-energy individuals  to join our team.  

POSITION SUMMARY: Provide administrative & operational support to several senior-level professionals in  varying capacities including, but not limited to travel coordination, meeting setup and calendar management,  preparing expense reports, etc. In addition, serve as office manager for Summit Carbon and help to establish  key relationships with vendors, employees, visitors and various other Summit Carbon constituents.  


  • Manage executives’ calendars: Plan, schedule and prepare meetings /calls  
  • Assist/ prepare meeting materials  
  • Prepare, review & process expense reports, ensure expense reports have adequate support & submitted  timely  
  • Schedule travel arrangements (flight, ground transportation and hotel)  
  • Vendor Management – Coordinate with vendors, review invoices and monitor  
  • Maintain an organized electronic filing system  
  • Website management – including posting updates, maintain change log & ensuring accuracy  
  • Assist with on-boarding new hires  
  • Organize office operations and procedures  
  • Coordinate with IT department on all office equipment  
  • Provide general support to visitors  
  • Assist in the onboarding process for new hires  
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel  arrangements)  
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conferences  

Candidate Profile:  

  • Superior interpersonal, verbal, and written communication skills  
  • Detail oriented and high-quality work product  
  • Excellent organizational skills and ability to multi-task  
  • Team player with positive attitude  
  • Must be capable of appropriately handling confidential information  
  • Knowledge of representative expense (Concur or similar) system a plus  
  • Professional appearance and demeanor  
  • Strong project management and problem-solving skills  
  • Desire to be proactive and create a positive experience for others
