Project Accounting Specialist


We are looking to add a Project Accounting Specialist to our team that will be responsible for general clerical and administrative duties supporting Accounts Payable and Contract Administration. Daily responsibilities may include general processing, record-keeping and reporting duties for office team and management staff. A keen eye for reviewing certificates of insurance, processing lien waivers and applying contract documents to vendor accounts will be required. A successful candidate will have a background in construction, contract administration, and accounting support. Experience with Sage300 and Timberscan is preferred.

Duties and Responsibilities

  • Maintain vendor compliance of lien waivers and certificates of insurance, work with Operations to obtain proper documentation.On-going review of certificates of insurance and contracts for detail and accuracy.
  • Maintain documentation and retention of subcontract and other contractual agreements for timely vendor payment processing
  • Administer company credit card program by reviewing expenses for compliance and complete monthly reconciliation and reporting.
  • Accurately prepare and maintain accounting documents and records
  • Research, track, and restore accounting or documentation problems and discrepancies
  • Inform management and compile reports/summaries on activity areas as needed
  • Provide accounting and clerical support to the Accounting Department
  • Process and distribute incoming mail and faxes
  • Other duties as assigned

Education, Experience, and Training

  • An Associates Degrees in Business or Accounting preferred
  • 2+ years of accounting and/or contract administration experience is preferred
  • Previous experience with Sage300 and/or Timberscan software is preferred
  • Proficient use of Microsoft Office applications
  • Ability to work without supervision and possess strong project management skills
  • Exceptional analytical and communication skills with a team player approach
